How to Open WorkSmart? Double-click on the MS Outlook icon on your
Desktop and choose your profile. Once
inside Outlook, click on the WorkSmart icon on the Outlook Bar. How to create an Account? Click on WorkSmart Accounts on the Outlook Bar (If Outlook Bar is not available, click View from the Menu and choose Outlook Bar). Double-click on the Accounts listing screen. Enter the Account name and other information. The options Add, Edit and Remove will allow you to create and associate Contacts with this Account. Those options would not be accessible before saving the Account. Save the Account. Click on Add and create a Contact. This Contact would be associated with this Account automatically. How to create a Contact? Click on the Contacts icon on the Outlook Bar. Double-click on the Contacts listing screen. Enter the Contact related information. The field Account is to Associate an Account with this Contact. Enter a * and press the Tab key. All the existing Accounts would be listed. Choose an Account from that list for associating the contact to the account. How to create an Appointment? Click on the Calendar icon on the Outlook Bar. Double-click on the Calendar screen. Under the title Appointment, enter Subject and choose the Date and Time. Under the title Activity, choose an Account and a Contact. Click on the button near the field Opportunity to create new Opportunity. In the New
Oppportunity screen, enter the Opportunity name, Value and
some description in the big box. Choose the Probability and Currency
type and click on OK. The value and probability chosen would
be displayed in the Appointment screen automatically.
Value is the expected value of business.
Probability is the percentage of getting the business.
Currency type is specific to the opportunity value. How to create a Task? Click on the option Task below the Outlook Tool Bar. Double-click on the Task screen. Enter the information specific to the task and click on the option Save and close below the Outlook Tool Bar. Click on the button Contacts… to associate Contacts or Acciounts. One or more Accounts and Contacts could be associated with a task. A task property screen would be displayed. Choose the Start Date and Time and enter the Duration and click on OK (The Task Properties screen would not be displayed if the Tasks from the Outlook Bar is chosen). The Task would be accessible through the Calendar on the specified date. How to create Notes? Click on the option Notes on the Outlook Bar. Double-click on the Notes screen. Enter the notes and close it. A screen would be displayed to attach the notes with an Account or a Contact. Choose Account or Contact from the drop down list named Type. Click on the button Advanced search and double-click on the required Account or Contact. Click on OK. How to create a Mail? Click on the down arrow near the option New in the Outlook Tool Bar. Choose the option New Message from the list. Enter the Account’s or Contact’s mail address in the field adjacent to the button To or Click on the button To and select the Email Address from the list provided. Enter the Subject and type the content of for mail. Click on the option Send in the Outlook Tool Bar. A mail sent to or received from and account or a contact automatically gets written to the WorkSmart database. Thus allowing you to associate a mail to an account or a contact. This information will be listed in the Activities on Account/Contact option which will appear on right click from the WorkSmart or Accounts folder. How to Associate a Document with an Account or a Contact? Click on the option File from the Menu Bar. Choose the option Associate Documents. Click on the button Associate file and choose the file you wish to associate. Choose Account or Contact from the drop down list named Type. Click on the button Advanced Search. A list of the existing Accounts or Contacts would be provided. Double-click on the required Account or Contact. Choose the option Copy file to WorkSmart location or Move file to WorkSmart location. The option Copy allows you to take a copy of the file and paste it under the directory C:\program files\WorkSmart\Documents (or under D:\ program files\WorkSmart\Documents, if WorkSmart has been installed under D:\program files). The option Move is to cut the file and paste it under the directory C:\program files\WorkSmart\Documents (or under D:\ program files\WorkSmart\Documents, if WorkSmart has been installed under D:\program files). How to Access WorkSmart Digital DashBoard? Click on the WorkSmart icon on the Outlook
Bar. Information would be available under three topics Accounts,
Contacts and Opportunities. For each of the topics, information would be
provided under various headings like Accounts, Contacts, Appointments,
Mails, Tasks, Opportunities, Notes and Documents whichever relevant to the
topic selected. Under the heading All, all the above stated information
would be displayed. Double click on the entries to get the information in
detail. For the topics,
information would be displayed one by one. Click on the Arrow symbols to
browse the list of Accounts or Contacts or Opportunities.
Enter a search character in the space near the option Search and
click on the option Go to search the Accounts or Contacts
starting with the search character. Click
on the option Advanced Search. Set
the search condition to get the Account or Contact. How to view the Activities on Account? Click on the icon WorkSmart Accounts. Right-click on an existing Account. Choose the option Activities on Account. The Appointments, Tasks, Notes, Mails, Documents and Opportunities specific to the Account would be displayed. How to view the Activities on Contact? Click on the icon Contacts. Right-click on an existing Contact. Choose the option Activities on Contact. The Appointments, Tasks, Notes, Mails, Documents and Opportunities specific to the Contact would be displayed.
